Preventive maintenance creates value only when the task controls a real failure mode and its findings create action.

Every PM task should control a failure mode

A preventive-maintenance task is useful when it detects or prevents a specific way equipment fails. ‘Inspect machine’ is vague. ‘Check conveyor drive chain slack and lubrication; record adjustment if outside specified range’ is actionable. Good PM links condition, method, limit, and response.

If a bearing typically fails from contamination, a task that only checks mounting bolts will not control the failure mode. The task may need seal inspection, lubrication, temperature, or vibration depending on design.

Field habit: For each PM line, ask: What failure is this intended to prevent or detect?

Common trap: Do not keep inherited tasks forever simply because they are on the checklist.

Intervals should come from evidence

Too-frequent maintenance wastes labor and can introduce failure through repeated disturbance. Too-infrequent maintenance misses degradation. Use manufacturer guidance, criticality, failure history, operating hours, environment, and measured condition to refine intervals.

A filter in a dusty woodworking plant may need far more frequent attention than the same filter in a clean assembly area. Calendar intervals alone ignore operating severity.

Field habit: Record findings as ‘good / adjusted / replaced / abnormal’ so interval decisions have data.

Common trap: Do not increase PM frequency automatically after every failure without checking whether the task can actually detect that failure.

  • What changed recently or only under the failing condition?

Inspection quality matters more than checkbox speed

A PM route only works when technicians know what normal looks like and what threshold requires action. Training, photos, standard readings, and examples of defects improve consistency. A rushed checkbox can create false confidence.

Instead of ‘check belt,’ define tension or deflection method, wear limits, tracking condition, and what to do if abnormal. Even simple standards improve repeatability.

Field habit: Add one useful normal reference to each critical PM task.

Common trap: Do not reward PM completion speed so strongly that observation quality disappears.

Turn findings into work

A PM inspection that discovers a problem but generates no repair action is not preventive maintenance; it is documentation of future failure. Findings need ownership, priority, due date, parts, and closure.

If a technician records ‘gearbox leaking heavily’ for six weeks with no follow-up, the checklist has failed as a maintenance system even if every PM was ‘completed on time.’

Field habit: Review abnormal findings separately from completion statistics.

Common trap: Do not close a PM with ‘monitor’ unless someone knows what to monitor and when.
