Documentation is how one technician’s experience becomes plant knowledge instead of disappearing at the end of the shift.

Write for the technician who was not there

A useful job note allows someone else to understand the symptom, evidence, action, and remaining risk. Include asset, time, observed fault, key measurements, parts changed, temporary conditions, test result, and follow-up. Short can still be precise.

‘Replaced sensor’ is weak. ‘Line 4 case packer PE7 failed to switch; 24 V supply good, output stayed 0 V at target; replaced same part number, aligned to 6 mm gap, verified 50 cycles’ is useful.

Field habit: Use factual verbs: measured, observed, replaced, tightened, reset, tested, suspected.

Common trap: Do not write theories as facts.

Handover should expose unfinished risk

The next shift needs to know what is not normal: bypasses, temporary parts, repeated alarms, open work orders, panels not yet restored, monitoring required, or machines that are running with limited confidence. Hidden temporary work is dangerous.

If you installed a temporary spare drive with conservative settings and engineering will tune it tomorrow, that must be explicit. ‘Machine running’ alone is misleading.

Field habit: End each handover item with current state and next action.

Common trap: Do not rely on verbal handover for safety-critical temporary conditions that should be formally controlled.

  • What should be true at this point in the sequence?

  • What evidence can prove or eliminate this section of the system?

  • What changed recently or only under the failing condition?

Record normal values when you learn them

A fault report becomes even more useful when it captures a normal reference: normal air pressure during cycle, normal motor current, expected sensor gap, typical drive speed, or standard sequence time. Future technicians can compare instead of guessing.

The first time you troubleshoot a vacuum system, record the healthy vacuum value after repair. That small note may save hours next year.

Field habit: Build a library of normal readings for critical assets, following site documentation rules.

Common trap: Do not treat every number as universal; operating condition and product can change the expected value.

Good notes improve root cause

Repeat problems are hard to see when every event is documented differently. Consistent fault categories, component tags, and symptom wording make patterns visible. Three sensor failures at the same cable-carrier position may look unrelated until notes are searchable.

Even a simple spreadsheet or CMMS search can reveal that one drive trips every Monday after washdown or one bearing has been replaced four times in six months.

Field habit: Use the same asset and device names across work orders.

Common trap: Do not bury useful evidence in vague comments such as ‘checked okay.’
